Roles and Responsibilities

Affinity Express is looking for an enthusiastic Data Processing Associate responsible for reviewing customer purchase orders for completeness and entering them into the order management system. This position involves coordinating with distributors to retrieve any information that has been missed in the original order. Additionally, our Data Processing Associates are required to update the information provided by the customer in the system to make crucial decisions surrounding pricing, ship methods, etc., to deliver the high standard service to our clients.

Requirements:

  • Graduate
  • English medium school
  • 3years of experience

Desired Candidate Profile

Roles & Responsibilities:

  • Understanding of the order management system
  • Analyze transactions received and determine appropriate path for handling
  • Review Purchase Orders and other documentation at a granular level for completeness
  • Attach submitted files or download files for attachment to sales orders as needed
  • Make edits to existing orders as additional information is provided/obtained
  • Strong knowledge of international shipping terms, procedures, and prioritization of different shipments
  • Responsible for managing the complete life cycle of the order
  • Timely and accurately communicating to the customer on clarifications of the request
  • Fair knowledge of general order entry procedures, pricing, and replacement orders
  • Reviewing orders to ensure accurate and complete information is included
  • Strong ability to understand, communicate with, and effectively interact with people across cultures
  • Ensure service delivered to customers meets Key Performance Indicators (KPIs) including number of orders entered per hour, error percentage, credit & Claims, reworks, etc.
  • Escalate to next level when appropriate to do so
  • Strong problem-solving skills – demonstrated ability to close gaps and drive to root cause analysis
  • Proven ability to work well under pressure to meet order deadlines
  • Ability to multitask & focus on multiple issues at once
  • Ability to comprehend customer’s request
  • Detail-orientation and good analytical skills
  • High customer service orientation
  • Proficiency in Microsoft Office Suite, specifically Outlook, Word & Excel

  • Typing Skills - Typing speed of 35 wpm with a 100% accuracy
  • Analytical/Attention to Detail - Captures pertinent details; records details and notes in a concise manner; Utilized template texts as/when available High

  • General understanding of the Order management processes
  • Practical experience in a similar position is a plus
